Privacy Policy
VYZN Technologies Inc. (“Vyzn,” “we,” “us,” or “our”), a corporation in British Columbia, Canada, provides bookkeeping software and services (the “Service”). This Privacy Policy explains what information we collect, how we use and protect it, and your choices. It applies to data we process when you use the Service, including data we access from connected accounting platforms such as Intuit QuickBooks Online and Xero, and from bank and credit-card accounts you choose to connect through our data-access provider, Plaid.
1. Information we collect
| Category | Examples |
|---|---|
| Account & contact | Name, business name, email, phone, role, authentication identifiers. |
| Accounting data (QuickBooks / Xero) | With your authorization, accounting records from your connected company: chart of accounts, bank and credit-card transactions, bills, invoices, vendors, customers, journal entries, attachments, and financial reports (e.g., profit & loss, balance sheet). |
| Bank & credit-card feed data | With your authorization via Plaid, information about the business accounts you connect: institution name, account name and masked number, balances, and transaction history (dates, descriptions, amounts). We never receive or store your banking credentials. |
| Documents you provide | Receipts, statements, spreadsheets, and other files you or your team submit for bookkeeping. |
| Usage & technical | Log data, timestamps, IP address, device/browser information, and error diagnostics. |
2. How we access your accounting and bank data
Accounting platforms. When you connect QuickBooks Online or Xero, you authorize access through the platform’s OAuth 2.0 process. We receive a secure access token (never your password) scoped to the platform’s accounting API. We access only the data needed to provide the Service and only for the company you authorize. We do not sell this data, and we use it solely to provide and improve the bookkeeping services you have engaged us for, consistent with Intuit’s and Xero’s API terms.
Bank connections (Plaid). If you choose to connect a bank or credit-card account, you do so through Plaid Link, and you provide your credentials directly to Plaid — we never see or store them. We receive a secure access token and the account and transaction data described above, which we use solely to keep your books current. You can disconnect at any time, which stops further access. Plaid’s collection and use of your information is described in the Plaid End User Privacy Policy. By connecting an account, you grant VYZN and Plaid the right to access and process this data as described in this Policy.
3. How we use information
- To provide the Service: ingest documents, categorize transactions, prepare draft entries, reconcile, and generate reports.
- To communicate with you about your account, support, and service notices.
- To maintain security, prevent fraud and abuse, and debug issues.
- To comply with legal, tax, and regulatory obligations.
4. How we share information
We do not sell your personal or financial information. We share it only with:
- Service providers (subprocessors) who help us operate the Service under confidentiality and data-protection obligations — for example, cloud hosting and storage providers, and an AI processing provider used to categorize and extract transaction data. These providers process data on our instructions and only as needed to deliver the Service.
- Intuit and Xero, as necessary to interact with your authorized company through their APIs.
- Plaid, our bank-data provider, which connects to your financial institution on your instruction and processes your data per its End User Privacy Policy linked above.
- Legal & safety: where required by law, regulation, legal process, or to protect rights, safety, and property.
- Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy.
5. Data location and transfers
We are based in Canada and may store and process information in Canada and other countries where we or our service providers operate. Where information is transferred across borders, we take steps to ensure it remains protected in accordance with applicable law.
6. Data retention
We retain information for as long as needed to provide the Service, meet our legal, accounting, and tax obligations, resolve disputes, and enforce agreements. When connection access is revoked or your engagement ends, we revoke and delete associated access tokens promptly and delete or de-identify connected accounting and bank data within a commercially reasonable period, unless retention is required by law (for example, Canada Revenue Agency record-keeping requirements for books and records we maintain as part of your engagement).
7. Security
We use administrative, technical, and physical safeguards designed to protect information, including encrypted transport (TLS), restricted access, and secure storage of access tokens. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
8. Your choices and rights
- Disconnect anytime: you may revoke the Service’s access in QuickBooks Online or Xero under your platform’s connected-apps settings, revoke bank connections through us or via the Plaid Portal, or contact us. Revoking access stops further data access, and we delete associated access tokens promptly.
- Access, correction, deletion: subject to Canada’s PIPEDA and British Columbia’s Personal Information Protection Act (PIPA) and other applicable laws, you may request access to, correction of, or deletion of your personal information.
- Withdraw consent: you may withdraw consent to certain processing, which may limit our ability to provide the Service.
To exercise these rights, contact us using the details below.
9. Children
The Service is intended for businesses and is not directed to individuals under the age of majority. We do not knowingly collect personal information from children.
10. Changes to this Policy
We may update this Policy from time to time. Material changes will be posted here with a new “Last updated” date and, where appropriate, additional notice.
